I audited our team's subscriptions in January. We were paying $2,400/month in software. After the audit: $340/month. Not by downgrading quality - by cutting every tool that could not pass one test. The test: does this save at least 5 hours per month, or does it directly generate or protect revenue?

Most tools failed. Not because they were bad tools. Because we were not using them enough for the cost to make sense. The AI tool market has created a subscription trap where you pay $99/month for something you use twice.

The One Test Every AI Tool Must Pass

Before subscribing to any AI tool, calculate: how many hours per month will I realistically use this? If your honest answer is under 5 hours, the cost-per-hour is probably worse than hiring a VA for those tasks. The exception is revenue protection - if a tool prevents client churn, reduces errors in client-facing work, or improves close rates, the ROI is harder to calculate but still real.

Apply this filter to every existing subscription quarterly. Cancel anything that fails. Your goal is fewer, deeper tools that you actually use daily.

The Tools That Made the Cut

Claude Pro ($20/month): Highest ROI tool I pay for. Used daily for writing, analysis, strategy, coding, proposal generation. At my usage rate that is under $0.50/hour. The API access is separate - billed by usage, roughly $0.003 per task. Both are worth it.

Resend (free to $20/month): Email infrastructure for transactional and campaign sends. 3,000 free emails/month on free tier. For most small businesses, this covers everything. When you scale past that, $20/month. Replaces $97+/month email tools with better deliverability and a simple API.

Cal.com (free): Scheduling without Calendly's restrictions or $16/month fee. Unlimited booking pages, custom questions, buffer times, team scheduling. Full self-hosted option if you want zero cost. Replace Calendly today.

ElevenLabs ($5-22/month): Voice cloning and AI voice generation. If you produce video or audio content, this compresses recording time significantly. $5/month starter covers most solo content creators. The $22 creator plan gives you unlimited characters and voice cloning.

Retell AI (usage-based): AI voice agents for inbound/outbound calls. Charged per minute, not per seat. For businesses running any volume of calls, this is dramatically cheaper than hiring. Voice quality has crossed the threshold where most callers cannot tell.

Tools That Failed the Test

Jasper, Copy.ai, and similar writing tools: Unnecessary if you have Claude Pro. The specialized writing tools cost $49-99/month for functionality Claude does better. Cancel and consolidate.

All-in-one platforms above $100/month: GHL, HubSpot, ClickFunnels. These bundle 8 tools and charge for all of them whether you use them or not. If you are actively using 6 of the 8 features at high volume, the bundle math works. If you are using 2-3 features, you are paying a 4x premium for convenience.

AI image generators above $20/month: Midjourney's $10-30/month tiers, Adobe Firefly at $23/month. Only worth it if you are producing 50+ images per month for client or brand work. If you are producing 10-15 images for social content, the free tiers of DALL-E and Canva AI cover it.
